Reception & Administration Assistant (Cardiff Office)

Job Description:

You will support our legal team by performing a variety of tasks to ensure the efficient operation of the office. Your role will involve working on reception, assisting the client manager, marketing manager and general administration team.

Hours: 9am – 5pm – Monday – Friday

Start Date: As soon as possible

We are in search of a Receptionist / Assistant to provide full reception duties and work with our Client Manager & Marketing Manager team.

This is a new role and we are looking for a team member who will demonstrate great initiative. It is an excellent opportunity for the right candidate to assist a growing team.

Key Responsibilities:

  • Welcoming clients in person and notifying the person to whom they are meeting with
  • Dealing with client enquiries
  • Dealing with clients on the telephone, determining which area of law to whom the client call should be referred to
  • File opening procedures: Oversee and streamline the process of file opening for new clients or matters, ensuring compliance with legal and firm-specific protocols.
  • Assisting the Marketing Manager: provide administrative support to the marketing team.
  • Assisting the Client Manager: provide administrative support to the Client Manager.

Requirements

  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite and legal research tools
  • Strong organisational skills with the ability to manage multiple tasks effectively
  • Attention to detail and a high level of accuracy
  • Ability to work independently and collaboratively as part of a team
